Summary Under limited supervision, performs the filing, recording and maintenance of legal documents pertaining to real and personal property within the County. Primary Duties and Responsibilities The intent of this job description is to provide a representative summary of the primary duties and responsibilities performed by incumbents in this position. Prepares documents for scanning; keys in (data entry) and processes information into the County recording system. Inspect documents for accuracy and completeness Accepts, distributes and ensures required documentation for passport applications; administers oaths; and mails applications. Assist with data collection for monthly reports/statements to County and State Officials. Answer the telephone and answers inquiries and directs inquiries to correct departments. Assists the general public with record searches. Performs related work as required. Knowledge, Skills, and Abilities Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records and other office procedures and terminology. Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Ability to read, understand and apply regulations, codes, policies, procedures and other operational guidelines and directives. Ability to read, analyze and interpret legal documents, professional correspondence, technical procedures and government regulations. Ability to perform various mathematical calculations. Ability to maintain strict confidentiality. Ability to understand changing legislation and apply it to recording activities and functions. Ability to communicate effectively, both orally and in writing. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Physical Demands This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Position Type and Expected Hours of Work This is a full-time position. Courthouse open Monday through Friday, 8 a.m. to 4:30 p.m. Travel No travel is expected for this position. Required Education and Experience High school diploma. One to two years of customer service experience Preferred Education and Experience Some College or Associateandrsquo;s degree.
